Important Info for Virginia Summit Exhibitors

Virginia Pest Management Summit
November 11 - 13, 2025 - Omni Richmond Hotel

Hello $$First Name$$,

We are looking forward to seeing you at the Virginia Pest Management Summit next week! A current registration list is provided at the end of this email, in hopes that you will read through all of this information. 

1. The meeting will be held at the Omni Richmond Hotel located at 100 South 12th Street, Richmond, Virginia, 23219.

2. Exhibitor set up runs from 11:00 am - 4:30 pm on Tuesday, November 11th. The hotel will allow you to use the front entrance to cart in your booth materials, but you won't be able to leave your car unattended for long. Please have your booth set and ready to roll by 5:00 pm for the Exhibit Hall Happy Hour.

3. Your welcome packet will be waiting for you at your booth. Please see the Sponsor & Exhibitor Floorplan to find your assigned spot. Please no switching booth spaces. See Andrea or Kristin if there is an issue.

4. If you need to ship materials to the Omni please read this linked document. This form must be completed and returned to the Omni for all shipments and arrangement to pay the Omni fees, must be made with Nancy Kilb - nkilb@omnihotels.com (not Jennifer Vidler as indicated on form). Please note, additional charges are incurred for packages arriving on Saturday or Sunday, so please plan accordingly. A service fee is also charged for outgoing shipments, so you may want to find a local shipping carrier for return packages.

5. If you need to store boxes or extra materials during the event, we have secured storage space in the Rappahannock room, near the registration desk.

6. We invite all vendors to join us for an Exhibitor Feedback session at 10:15 am on Thursday, November 13th in the Rappahannock room.

7. With the exception of the Exhibit Hall Happy Hour (11/11 from 5:00 - 6:00 pm), the President's Reception (11/12 from 5:00 - 6:30 pm), and a Professional Women in Pest Management Reception (11/12 from 8:00 - 9:00 pm) we don't have any big social events, like casino night, this year. That leaves time for you to schedule time with customers or meet up with attendees at the Westham Tavern at the Omni.
